The Database Goldmine Playbook

What your sphere is actually worth, why it's leaking, and the exact scripts and cadence that collect it.

1. The math your database owes you

Industry benchmarks value every contact in a working database at roughly $624 per year in commission potential. A 500-contact sphere is about $312,000 a year of latent GCI. In higher price markets like Silicon Valley, run the math with your own numbers:

And the decay clock is running: an untouched database shrinks about 15% a year. People move, switch emails, and forget you exist.

2. The gap nobody talks about

88% of past clients say they'd use their agent again. Fewer than 15% actually do. Not because you did bad work. Because 8 out of 10 repeat buyers and sellers contact only ONE agent: whoever they remember first. Staying remembered is not a personality trait. It's a system.

3. The 10-point database health audit

Score one point per yes:

8-10: you're running a real system. 4-7: money is leaking every month. 0-3: your database is a goldmine with no shovel. That's fixable in weeks.

4. The cadence top agents run

Market-dominating agents touch every contact every 30 to 45 days, mixing value (market updates, home value reports), personal (anniversaries, check-ins), and useful content. Quarterly database cleaning keeps the decay away. None of this needs to be manual: the touches that don't need your voice get automated, so the ones that do get your full attention.

5. Three reactivation scripts that wake a dead database

Reactivation campaigns re-engage a quarter or more of a cold database. Send these as texts, personalized with a first name:

The market check-in:

Hey [Name], it's [You]. Homes in [neighborhood] have been moving lately and I thought of you. Want me to send over what your place would list for right now? No strings, just numbers.

The honest reconnect:

[Name]! It's been way too long, that's on me. I'm doing quick equity check-ins for past clients this month. Want yours? Takes me 10 minutes and it's free.

The referral door-opener:

Hey [Name], quick one: I've got room for two more clients this season and I'd rather work with people connected to you than strangers from the internet. Know anyone thinking about a move?

6. Automate it in a CRM you own

Here's the part most agents get wrong: they build all of this inside a brokerage CRM, then change brokerages and lose everything. The system we build lives in YOUR GoHighLevel account: the contacts, the automations, the review engine, the data. Switch brokerages and it all comes with you. Done for you, or taught to you with an SOP.
